1. Who we are
West Lothian Dog Adventures provides dog walking and related dog-care services in West Lothian, Scotland. This Privacy Policy explains how we handle personal information when you use our website, contact us, make a booking or use the Adventure Passport owner portal.
For privacy enquiries, contact us at hello@westlothiandogadventures.co.uk.
2. Information we collect
Depending on how you use our services, we may collect:
- your name, email address, telephone number and postal address;
- emergency contact details;
- booking information and the services you request;
- details about your dog, including name, breed, age, sex, veterinary information, feeding information, medical notes, behavioural information and recall notes where you provide them;
- messages and information you send through our contact form or otherwise provide to us;
- account and login information used for the Adventure Passport owner portal;
- adventure records, including dates, locations, distances, activities, photos, videos and route information;
- basic technical information needed to operate the website securely, such as session information and server logs.
3. How we use your information
We use personal information where necessary to respond to enquiries, manage bookings, provide services safely, contact you about your dog or booking, maintain your Adventure Passport account, manage welfare information, administer the website, keep appropriate business records and deal with complaints, disputes or legal obligations.
4. Our lawful bases for using personal information
Under UK data protection law, we must have a lawful basis for using personal information. Depending on the circumstances, we may rely on:
- Contract — where information is needed to take steps at your request before a booking or to provide services you have booked.
- Legal obligation — where we need to keep or use information to comply with a legal requirement.
- Legitimate interests — where reasonably necessary to operate, protect and improve our business, communicate with customers, maintain records, prevent misuse and manage our services, provided those interests are not overridden by your rights.
- Consent — where we specifically ask for consent for a particular use and consent is the appropriate lawful basis.
- Vital interests — in rare circumstances where information is genuinely necessary to protect someone's life or safety.
If we rely on consent, you can withdraw it at any time. Withdrawal does not make earlier processing unlawful.
6. Dog information, photos, videos and routes
The Adventure Passport may contain information about your dog and records of their adventures. Owner-portal content is intended to be available only to the relevant logged-in owner account and authorised administrators.
Adventure photos may also be used in the separate public website Gallery where they have been selected for public display. Public gallery images may carry a West Lothian Dog Adventures watermark.
If you have a concern about a photograph or other content relating to your dog, contact us and we will review it.
8. Security
We take reasonable technical and organisational measures to protect personal information from unauthorised access, loss, misuse or disclosure. No internet service can guarantee absolute security, but access to private owner information is restricted through authenticated accounts and administrative controls.
9. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing services, maintaining appropriate business records, resolving disputes and meeting legal, accounting or insurance requirements.
Retention periods can differ depending on the type of information and why we hold it. Information that is no longer required will be deleted, anonymised or securely disposed of where appropriate.
10. Your data protection rights
Depending on the circumstances and the lawful basis we rely on, UK data protection law may give you rights to ask for access, correction, erasure, restriction, objection or portability of your personal information, and to withdraw consent where processing is based on consent.
You have the right to object to processing based on legitimate interests in certain circumstances. Contact us if you wish to exercise this right.
These rights are not absolute and can depend on the circumstances. We may need to verify your identity before dealing with a request.
11. Children
Our booking and owner-account services are intended for adults. We do not knowingly ask children to create owner accounts or provide personal information through those services.
12. Changes to this policy
We may update this Privacy Policy when our services, website or legal obligations change. The date at the top of this page shows when it was last updated.
13. Contact and complaints
If you have a question about your personal information or wish to exercise a data protection right, email hello@westlothiandogadventures.co.uk.
You also have the right to complain to the UK Information Commissioner's Office if you are unhappy with how your personal information has been handled. You can find information about making a complaint at ico.org.uk.
