1. About these terms
These Terms & Conditions apply to the website, Adventure Passport owner portal and services provided by West Lothian Dog Adventures.
By making a booking, using an owner account or using our website, you agree to the terms that apply to that part of the service. Any additional service information or booking terms clearly provided to you at the time of booking also form part of your agreement with us.
2. Bookings
Booking requests are subject to availability and suitability. A booking is not guaranteed merely because a request has been submitted. Where the website shows a booking as pending, it remains pending until it has been accepted or otherwise confirmed.
We may decline a booking where we reasonably consider that the requested service, group, timing or environment would not be suitable or safe for the dog, other dogs, staff or members of the public.
3. Information about your dog
You are responsible for giving us accurate and up-to-date information that is relevant to your dog's care and safety. This includes, where applicable, information about health, medication, injuries, veterinary care, behaviour, reactivity, bite history, recall, feeding requirements and anything else that could affect a walk or care arrangement.
You should tell us promptly if this information changes. We rely on the information you provide when deciding how to plan and safely deliver services.
4. Safety, welfare and suitability
The welfare of the dogs in our care is central to the service. We may adapt, shorten, relocate or stop an outing where we reasonably consider this necessary because of weather, environmental conditions, a dog's behaviour or health, transport disruption, access restrictions or another safety concern.
Group composition may change from time to time. We will use reasonable judgement when matching dogs and may move a dog to a different service or recommend solo care where group walking is no longer appropriate.
5. Emergencies and veterinary treatment
If a dog becomes ill, injured or requires urgent attention while in our care, we will make reasonable efforts to contact you or the emergency contact details you have provided.
Where urgent action is reasonably necessary for the dog's welfare and we cannot reach you in time, we may seek appropriate veterinary assistance. You remain responsible for veterinary fees and other third-party costs relating to your dog unless the law requires otherwise.
6. Changes, cancellations and disrupted services
If you need to change or cancel a booking, please contact us as early as possible. Any specific cancellation, refund or rescheduling terms shown or agreed when you book will apply to that booking.
We may occasionally need to change or cancel a service because of illness, unsafe weather, transport problems, access restrictions or circumstances outside our reasonable control. Where this happens, we will try to give reasonable notice and, where appropriate, offer an alternative arrangement.
7. Prices and payments
Prices are those communicated or displayed for the relevant service at the time of booking, unless an obvious error has occurred or a different price has been agreed with you.
Where payment terms, subscription arrangements, packages or due dates apply, these will be shown or agreed as part of the relevant booking or service arrangement.
8. Access, collections and handovers
Where a service requires us to collect or return your dog, you are responsible for providing safe and lawful access and for informing us of any relevant access instructions, alarms, security arrangements or hazards.
9. Adventure Passport owner portal
The Adventure Passport is provided as a private account area for participating owners. You are responsible for keeping your login details secure and should tell us if you believe someone else has gained unauthorised access to your account.
Adventure information, photographs, routes, badges, distances and reports are intended as a record of the service and experience. GPS distances and routes can be affected by device accuracy, signal quality and environmental conditions and should not be treated as survey-grade measurements.
10. Photos, videos and the public gallery
We may take photographs or videos during adventures as part of providing reports and documenting activities. Private owner-portal content remains subject to our Privacy Policy.
Selected dog-adventure images may also be published in the public website Gallery or other business communications where appropriate. Public gallery images may be watermarked with the West Lothian Dog Adventures logo.
If you have a concern about a public image relating to your dog, contact us and we will review it.
11. Responsibility and liability
We will provide services with reasonable care and skill. Nothing in these terms excludes or limits any responsibility that cannot legally be excluded or limited, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or your statutory consumer rights.
Dogs are animals and outdoor activities carry inherent and sometimes unpredictable risks. You are responsible for telling us about known issues relevant to your dog, and we will use reasonable professional judgement in managing the service.
We are not responsible for losses caused by inaccurate or withheld information, events outside our reasonable control, or third-party services that we do not control, except where the law says otherwise.
12. Website use
You may use this website for lawful personal and business enquiries relating to West Lothian Dog Adventures. You must not attempt to gain unauthorised access to accounts, interfere with the website, introduce malicious code, scrape private information or misuse forms or booking functions.
Website content, branding, text, graphics and original photographs are owned by or licensed to West Lothian Dog Adventures unless stated otherwise. You may not reproduce or commercially exploit them without permission except where the law allows it.
13. Website availability and accuracy
We aim to keep website information accurate and services available, but websites can occasionally be interrupted for maintenance, technical reasons or circumstances outside our control. We may change website content and available services from time to time.
14. Privacy
How we collect and use personal information is explained in our Privacy Policy.
15. Changes to these terms
We may update these Terms & Conditions when our services, website or legal requirements change. The version that applies to a booking is normally the version in force when that booking was made, together with any later change you expressly agree to where required.
16. Governing law
These terms are governed by the law of Scotland. If you are a consumer, you also retain any mandatory legal protections that apply to you.
17. Contact
Questions about these terms can be sent to hello@westlothiandogadventures.co.uk.
If you later introduce fixed cancellation charges, deposits, subscriptions, recurring payments or a formal photography-consent process, these Terms should be updated to match those arrangements exactly.
